Key Responsibilities<ul><li>Provide a complete and confidential support service to the Chief Medical Officer;</li><li>Ensure all correspondence is dealt with swiftly and to required deadlines;</li><li>Screen incoming calls, gauge importance and, whenever appropriate, deal with the enquiries with tact and diplomacy;</li><li>Complex diary management and associated logistics;</li><li>Assist in the preparation of presentation and report material, proofread and format documents and circulate in advance of meetings to the Board and/or CEC; </li><li>Responsible for agenda preparation and notes/action taking at the specific functional meetings and distributing these in a timely manner;</li><li>Make any necessary travel, hotel and visa arrangements and finalise itineraries for offsite visits in the UK or abroad;</li><li>Arrange various internal meetings sometimes across multiple time zones using telephone and video conferencing (including Teams), to ensure the CMO is kept fully up-to-date on all developments within their function and the company;</li><li>Arrange external meetings, whilst also sourcing venues, contract negotiation and arranging client entertainment;</li><li>Ensure the efficient running of the CMO's office, including reviewing all incoming emails and dealing with these as appropriate;</li><li>Arrange payment of invoices through PeopleSoft in accordance with established procedures and work with relevant budget managers to track CMO's cost centre expenditure as required;</li><li>Act as an ambassador for the CMO's function, globally and occasionally represent the CMO at relevant meetings;</li><li>Establish and maintain excellent working relationships with the offices of the Chairman and CEO, with other CEC EAs, and Group Clinical PAs</li><li>Act as mentor to the function's Personal and Team Assistants;</li><li>Be involved in highly confidential projects as available and appropriate;</li><li>Manage / assist team with production of internal team events (both in person and virtual) - ranging from 10 - 150 delegates.</li></ul>What We're Looking For<ul><li>Maturity and proficiency with experience of working at Board / Executive Level;</li><li>Self-motivated and able to work well under their own direction;</li><li>Excellent office, organisational and planning skills, ensuring they are proactively looking ahead and anticipating future needs</li><li>Strong problem-solving skills with a solution focused mindset</li><li>Strong judgement and advisory skills, able to make decisions on behalf of the CEC Member where appropriate</li><li>Excellent business acumen, with a strong understanding of their CEC Member's strategic priorities and what the business does;</li><li>Be a digital champion with an advanced level of competence in the Microsoft Office suite: Word, PowerPoint, Excel, Outlook;</li><li>Experience of organising events, internally and externally, from beginning to end;</li><li>Excellent interpersonal skills; ability to work closely with colleagues, develop open and honest working relationships with all colleagues;</li><li>Excellent written and verbal communication skills;</li><li>Positive can-do attitude and effective prioritisation of workload;</li><li>Ability to multitask efficiently and work under pressure whilst keeping to tight deadlines;</li><li>Confidence to have difficult conversations and challenge decisions when needed</li><li>Humility, tact and diplomacy;</li><li>Tenacity and resilience.</li></ul>Benefits Our benefits are designed to make health happen for our people.
