Medical Secretary Department: Site Support Roles Employment Type: Permanent - Full Time Location: Priory Hospital Ticehurst Compensation: £26,833 / year Description Priory Hospital Ticehurst House is looking to recruit a Medical Secretary to join the team. This is a full time 37.5 hours role. Set within 48 acres of beautiful landscaped gardens in a small village in East Sussex, Priory Ticehurst House is an idyllic location which allows us to provide a highly therapeutic environment, making us the perfect place for people staying with us to begin their recovery. We work collaboratively with the discharge teams to ensure a smooth transition back into existing community services, or to an individual's home, where possible. Priory's acute services aim to allow more people to be treated closer to home and we support the NHS to repatriate out-of-area patients back to local areas. What you'll be doing You'll be part of a dedicated and compassionate team, all working together to ensure the smooth running of the hospital and to support the wellbeing of our patients. While your role doesn't involve providing direct care, your contribution is vital in helping to maintain a safe, comfortable, and welcoming environment for everyone. Whether you're assisting with day-to-day operations, keeping things organised, or ensuring our spaces are well looked after, your support plays an important part in creating a positive experience for those who live and work here.<ul> <li>Ensure revenues and billing processes are followed and monies collected. </li> <li>Monitor referrals, appointments and debt collection, addressing any blocks and escalating when appropriate. </li> <li>Ensure all patients have up to date PMI cover or self-pay funding in place. </li> <li>Ensure cross cover within specified Medical Secretaries teams. </li> <li>Provide exceptional customer service to our patients, ensuring a positive customer experience. </li> <li>You will be required to accurately record Independent Consultant time to ensure appropriate invoicing controls are in place for the hospital. Independent Consultant Time is designated as time you spend completing tasks assigned to you by a Consultant. </li> <li>Ensure diaries and patient appointments are directly organised with patients and Consultants whilst ensuring the hospital is providing the best possible service to patients. </li> <li>Consistent use of Carenotes, paying particular attention to uploading reports and copy documents as appropriate and in line with company policies and SLAs. </li> <li>Liaise with Inpatient and Therapy Services regarding admissions, discharges, follow up arrangements and CPA and other multi agency meetings </li> <li>Recognise importance of enquiries, issues and callers and apply the appropriate prioritisation to ensure the highest level of service at all times. </li> <li>Ensure complaints from patients and families care handled with sensitivity and a level of urgency, escalating to the site Medical Director and HD, and in accordance with Company Policy. </li> <li>Ensure that all documentation is correctly filed, in order that financial, regulatory and other auditors can be satisfied. </li> <li>Patient details and records are updated within Carenotes promptly, ensuring accuracy of all data input. </li> <li>Ensure that Medical records are safely stored and archived in accordance with company and local procedures. </li> <li>Maintain all standards pertaining to confidentiality and Information Governance in accordance with Company Policies. </li> <li>Handle all external and internal enquiries relating to an individual or department, directing queries as appropriate. </li> <li>Seek to continually improve processes so that the hospital can operate efficiently. </li> <li>Work effectively with colleagues across all departments with a strong focus on the success of the hospital </li> </ul>You can find additional information in the attached job description. The ideal candidate will provide efficient and effective Medical Secretary administrative support to the hospital and particularly the medical team including Consultants, Doctors &amp; Visiting Consultants. This will regularly include typing, minute taking, receiving telephone enquiries, diary and appointment management, managing correspondence, meeting and greeting visitors and other administrative tasks as appropriate. You will also be required to liaise with other Priory Healthcare sites and departments, Insurers, GPs and Commissioners regarding specific patient details and invoicing.
