We're looking for an experienced Engineering Administrator who thrives on organisation, ownership and pace to join us on a permanent, part-time basis (30 hours per week). We're looking for an experienced Engineering Administrator who thrives on organisation, ownership and pace to join us on a permanent, part-time basis (30 hours per week). This is a role for someone who wants their expertise to genuinely matter, providing high-quality administrative support that enables our Engineering team to focus on delivering outstanding care environments.
- Provide high-quality administrative support to the Engineering department, ensuring smooth and efficient day-to-day operations
- Raise, manage and reconcile engineering purchase orders via SAP and resolve invoice queries in liaison with Accounts Payable
- Maintain accurate asset, maintenance and compliance records within the CMMS (Pirana)
- Coordinate and schedule planned preventative maintenance (PPMs) and reactive works for engineers and contractors
- Manage contractors in line with HS21/HS16 policies, monitoring presence, documentation and performance
- Act as a central point of contact for engineering-related communications, prioritising requests and enquiries
- Prepare reports and documentation to support audits, compliance reviews and service agreements
- Support access control administration, including issuing and managing door swipe cards
- Maintain strict confidentiality and comply with Information Governance, Data Protection legislation and Spire policies
- Undertake training, development and other duties appropriate to the role
Who we are looking for:
- A good standard of education, with strong literacy and numeracy skills demonstrated through relevant administrative experience
- Proven experience in an administrative or office-based role, ideally within a customer-focused or fast-paced environment
- Confident user of Microsoft Excel, with experience creating, maintaining and updating spreadsheets accurately
- Working knowledge of Microsoft Word, with the ability to produce clear, professional documentation
Desirable Criteria:
- Experience supporting an Engineering, Facilities or Estates function, ideally within a healthcare or regulated environment
- Familiarity with CMMS/asset management systems (such as Pirana) and/or SAP or similar finance systems
- Experience coordinating contractors, maintenance schedules (PPMs) and supporting audits or compliance activity
