Detailed job description and main responsibilities

Key Responsibilities
  • Bed and Patient Management
    • Admit, discharge, and transfer patients using the Bed Management System.
    • Review EDNs as required, ensuring that patients' personal details are accurate and up to date on the PAS System and EPR.
    • Input and amend information on the bed occupancy system for nursing staff.
    • Print handover lists and other relevant documents using electronic patient systems as necessary.
  • Communication and Coordination
    • Attend board rounds and update Teletracking with current information, including confirmed discharges and any queries.
    • Request bed cleaning appropriately in line with IPC alerts.
    • Liaise with specialty pathway coordinators regarding EDNs and GP admittance notifications for completion by medical staff.
    • Arrange ambulance transportation where authorised.
  • Patient Records and Documentation
    • Receive, process, and maintain patients' case notes, ensuring they are available for ward rounds.
    • Collect patients' case notes from the Health Records Department or Transit Area as required.
    • Maintain and update patient paperwork to ensure readiness for ward rounds.
    • Ensure the Patient Front Sheet contains accurate and current information.
    • File, update, and maintain all patient records in accordance with Trust procedures.
    • Collect and record ethnic and religious data on the PAS system.
  • Overseas and Financial Administration
    • Act as Stage One Officer to determine overseas patients' liability for treatment charges and inform the Overseas Officer accordingly.
    • Liaise with the General Office regarding patients' pensions, benefits, and safe custody of valuables.
    • Assist nursing staff with processing patients' property and valuables, ensuring compliance with Trust policy.
    • Deliver post, diagnostic forms, and prescriptions to relevant departments and collect medications from Pharmacy as required.
  • Ward Support and Supplies
    • Organise and book departmental clinics on the PAS system, ensuring documentation and patient details are correct and updated as needed.
    • Order and maintain ward stationery and supplies through Integra and the NHS Supply Chain.
    • Order patient-related supplies using the Teletracking System.
    • Complete and forward routine maintenance requests to the Estates Department.
    • Support ward staff with supply orders and liaise with Procurement when necessary.
  • Patient and Visitor Support
    • Greet patients and visitors on arrival to the ward, providing assistance and responding to doorbells and general enquiries.
    • Answer telephone calls, take and relay messages, and refer calls appropriately.
    • Support ward staff by making post-discharge calls to patients as required.
  • Clinical Administration
    • Complete VTE documentation on the PAS system.
    • Ensure that all patient administration tasks are completed accurately and in a timely manner, maintaining confidentiality and professionalism at all times.
