
Resource Administrator

Join our team as a Resource Administrator and play a vital role in ensuring the smooth day-to-day operation of our Nursing Department, helping to maintain safe staffing levels and support the delivery of outstanding care.
In this busy and rewarding role, you will work closely with Ward Managers and clinical teams to identify staffing requirements, coordinate cover for vacancies and absences, and ensure appropriate staffing levels are maintained across the service. You will manage staffing databases and rotas, maintain accurate records of staff availability, annual leave and absences, and communicate staffing changes effectively to both permanent and bank staff.
You will also be responsible for coordinating the use of bank and agency staff, monitoring agency usage, processing timesheets and invoices, and ensuring all mandatory training requirements are met. Working closely with nursing leadership, you will provide regular reports and workforce information to support effective resource planning and decision-making.
Alongside your staffing responsibilities, you will provide a range of administrative support, including maintaining filing systems, handling confidential records, preparing documentation and providing cover for the wider administration team when required. As part of the role, you will contribute to maintaining a safe, secure and efficient working environment for staff, service users and visitors.
Other responsibilities:
- Undertake any other tasks requested that are commensurate with the post holder’s level of responsibility.
- Comply with the guidelines laid down regarding confidentiality, disclosure of information and Data Protection. To maintain as confidential at all times information relating to patients, staff and hospital business.
- To cover Reception as and when required.
- Participate in the Company’s appraisal process.
- Maintain mandatory and professional development requirements. O be successful in this role, you will need
- To attend meetings relevant to the department, and internal / external training events as and when required.
- To take personal responsibility for ensuring the work practices and the environment meet the requirements of the Health and Safety at Work legislation and report all deficits to management.
- Undertake any other reasonable requests as made by your Line Manager.
- To provide cover for colleagues within the department when they are absent and/or on annual leave.
To be successful in this role, you will need:
- Experience of working in a dynamic, busy environment desirable
- Coordination of staffing and rotas essential
- 4 GCSE or equivalent (including English)
- NVQ Level II in Business Administration/willing to work towards essential
- Word Processing qualification desirable
- European Computer Driving Licence desirable
- Computer literate (Microsoft Office preferred) with particular emphasis on use of databases
- Good numeric and literacy skills
- Assertiveness
- Ability to plan and organise workload
- Listening/communication
- Knowledge of rota systems and timesheets desirable
Where you will be working:
Location: Everest Road, Atherton, Manchester, M46 9NT
You will be working at The Spinney, a service which offer a range of care settings for male patients with personality disorder and/or mental illness. The purpose-built medium, low secure and rehabilitation wards, as well as a psychiatric intensive care unit (PICU) are all set within an 11 acre site with extensive woodland and landscaped areas.
You will be working alongside a multidisciplinary team at The Spinney who have previously been recognised by the Association of Psychological Therapies (APT) for their ability to reinforce positive behaviour, prevention of challenging behaviour and successful interventions in a secure care setting.
