Job Description
Data Management and Quality
- Ensure accurate and timely data capture for projects.
- Proactively identify and follow up on key data items or outcomes that are absent or incomplete.
- Identify any trends, reviewing and taking action to address these.
- Use information systems to extract data to populate reporting templates as required, and in accordance with reporting schedules.
- Administer and maintain all relevant JRO information systems.

- Able to perform basic troubleshooting for databases.
- Facilitate effective communication with members of the multi-disciplinary team and liaising with ops manager and team leads to ensure an efficient administration and clerical service is maintained
- Act as a point of contact for the department or specialty, dealing with queries from stakeholders and passing on relevant information to appropriate team members or departments as required.
- Place orders using the procurement systems for the JRO
- Supporting research passport delivery
- Provide secretariat support for the department or division, including organising and administering meetings.
- Maintain adequate stock levels for the department, using Trust systems to procure required items.
- Receive and respond to e-mail queries, monitoring, managing and triaging email correspondence to generic inboxes
- Coordinate department diaries or rotas to ensure an efficient service is maintained.
- Responsible for identifying and reporting environmental issues, resolving general office maintenance issues and report those that fall beyond personal capabilities.
- Organise, attend and minute meetings as and when necessary

- Report any faults with equipment or the environment to the relevant department promptly, and as appropriate.
- Adhere to the Trusts Dress Code policy, and ensure a smart and professional appearance at all times.
- Work flexibly to cover all administrative areas as requested by the supervisor, including covering colleagues or periods of absence where appropriate and within the scope of capabilities.
- Proactively identify potential issues or risks that may compromise the smooth running of the department, and escalate these.

- Responsible for ensuring an efficient administrative service is provided, and identify opportunities for improvement.

Knowledge and Qualifications
Essential
- Educated to GCSE level or equivalent, with Grade C or above in English and Maths.
- Knowledge of the full range of administrative procedures, acquired through training and previous experience of working in an administrative environment.
- Awareness of the requirement to maintain confidentiality, and knowledge of the Data Protection Act.
- NVQ Level 4 in Business Administration, Customer Service, Healthcare Support Services or equivalent qualification.
Essential
- Experience of working in a non-routine environment, with demonstrable evidence of problem solving and resolving issues as they arise (acquired through experience and/or training to Vocational level 4 or equivalent).
- Experience of working in a customer facing environment, resolving queries and using initiative to ensure first-class service delivery
