Job Description

Main duties of the job
To provide comprehensive, efficient and effective quality governance support to the locality. This includes all aspects of the quality agenda including complaints, incidents, risks, audit, records and information management and procedural documentation.
This will be undertaken by liaising with patients, carers and relatives, clinical and non-clinical staff, managers and other stakeholders as appropriate.
The role will involve the coordination and implementation of governance procedures and will require a high degree of organisational skills and excellent working knowledge of the Trusts Incident Management Systems. They will be responsible for managing and prioritising their own workload and will be required to use their own initiative.

Detailed job description and main responsibilities
  • To act as the locality lead for incidents on the Ulysses Risk Management System working alongside the Trust Risk Department.
  • To support the investigator of serious incidents by collating any appropriate materials as required within specified timescales.
  • To support the locality management team for managing varied, complex caseloads of PALS enquiries and complaints, without direct supervision and escalate when required.
  • Support the investigation and management of formal and informal complaints and work with the service staff and managers. This may include communicating directly with complainants at times in a sensitive and empathetic way.
  • To liaise with a range of managers and staff across the locality to ensure they are aware of complaints received in their specific area and highlighting any identified trends and themes.
  • Co-ordinate and facilitate, where required, local resolution meetings for complainants and their representatives to meet with senior members of staff and to organise the minuting of notes.
  • Promote the PALs service to the public, patients and their families and carers.
  • Ensure all complaints and concerns are managed in a proportionate and customer focused manner in line with the Parliamentary Service Ombudsman complaints handling guidelines.
  • Contribute to collecting evidence to demonstrate compliance with the Care Quality Commissions standards on complaints handling.
  • Maintain a comprehensive record of all PALS enquiries and complaints from patients, relatives and carers for the locality, including the recording of improvements to patient and service user experience as a result of actions following concern investigation.
  • To engage in other patient experience activities such as surveys or patient engagement forums.
  • To establish systems and processes for the safe and effective storage, retrieval and destruction of clinic and corporate records
  • Support the services to develop an annual clinical audit programme in line with the Trusts Clinical Audit Policy.
  • To monitor performance against the audit programme, escalating variance from the agreed timelines.
  • To provide accurate and timely quality governance reports in different formats, for locality quality and safety and harm free care meetings.
