Job Description

Main duties of the job

To provide a comprehensive and confidential administrative and secretarial service to the Consultants and associate professional team. To create, manage and improve administrative processes and support the service. The post holder will also have line management responsibility for other administration, clerical and support staff.

Detailed job description and main responsibilities
  • Completion of audio typing and/or dictation. Copy typing of clinical and non-clinical documentation, i.e. reports, discharge summaries, progress reports, using appropriate IT packages, including Word, Excel and PowerPoint.
  • To manage Consultants' diaries to ensure most effective use of time, and arrange meetings as appropriate. To organise all aspects of travel arrangements when required.
  • Preparation and circulation of papers for meetings, CPA reviews and extensive minute taking.
  • Dealing with telephone enquiries from internal and external agencies, patients and other staff. Using initiative to respond to enquiries on behalf of the Consultants and team or operating message taking system as appropriate.
  • Set up and maintain filing systems. Retrieval of information as required, using IT systems and Internet, as appropriate.
  • Assist the Consultants in the organisation of events as required, i.e. venues, invitations, materials etc.

Essential criteria
  • Recognised competency based RSA/OCR level 3 or equivalent demonstrable experience
  • Have secretarial experience including minute taking skills
  • IT packages Microsoft Word, Excel and Power point
  • Audio typing and/or dictation


Desirable criteria
  • Experience in a secretarial post within an NHS setting
  • Line management experience
