Spire Dunedin Hospital has an exciting opportunity for a Bank Medical Secretary Assistant to join our dynamic and experienced team.

We are looking for Medical Secretary Assistants to join our bank to provide efficient administration secretarial support to the Medical Secretaries, assisting in the smooth running of the office. Initiate tasks and prioritise work under the guidance of the secretaries.

Our team of bank medical secretary assistants provide cover during annual leave, sickness and high volume periods. Working as part of our bank team will suit someone who would does not need set hours per week/month and would like a degree of flexibility with regards to hours/days required to work.

Main responsibilities:
  • Managing your individual performance focusing on empowering and supporting your colleagues to ensure a great customer service.
  • Working as part of a team which will require flexibility, trust and good teamwork. This will include excellent communications skills.
  • Maintain a professional, courteous manner and image always.
  • Proactively manage patient queries/concerns ensuring a positive outcome.
  • Ensure that you understand and adhere to company policies and procedures including Health & Safety, GDPR and other legislative and operational requirements.
  • Ensure compliance to mandatory training.
  • Collaborate with other departments to ensure best practice is achieved and maintained and the patient journey demonstrates service excellence.
  • To establish and maintain good working relationships with consultants, promoting effective communication and co-ordinated patient care.
  • Audio typing and reviewing patient letters and reports from both analogue and digital dictation
  • Forwarding letters/reports by either: - post, telephone or e-mail as required.
  • Answering phone calls in a courteous and professional manner.
  • To liaise with patients and provide non clinical advice such as dates and times of clinic appointments.
  • To be able to assess nature of enquiry and deal with appropriately, asking Medical Secretaries if necessary
  • Arranging new patient and follow-up appointments and registering them using an In-house database using Practice Manager and SAP.
  • Provide new patients with specific information relating to their appointment with regards to potential Hospital and Consultant fees, in line with CMA
  • Assist with preparation of future clinics, chasing results, ensuring that clinics are complete and ready for the next Consultant clinic day. Updating and amending as necessary future clinics on behalf of the Consultants.
  • Chase patient results & ensure ready for consultant to review prior to, or at next appointment.
  • Type discharge summaries dictated by Consultants as required.
  • Produce medical reports where necessary for Medical Insurers to approve treatment.
  • Maintain patient records securely as per Hospital Policy in line with GDPR.
  • To provide appropriate cover and support as and when required for the Department and to assist with NHS typing should there be a requirement.
  • To ensure that your working hours are carried out at the designated hospital site and in accordance with the relevant hospital policies.
  • Liaise closely with all other Outpatient departments where necessary.
  • Assist with any other reasonable duties as required by the Medical Secretaries or Medical Secretary Team Leader.

  • Previous experience in administration or customer service is highly desired
  • Experience in working in a fast paced environment
  • Excellent telephone manner and typing skills are essential
  • Proficient IT skills are essential
  • Team player
  • Previous experience in a clinical environment is highly desired but not essential
