Job Description

Detailed job description and main responsibilities
2. Main duties:
\uf0b7 Respond promptly to incoming queries, dealing directly with customers by telephone, electronically and face to face, working to obtain and evaluate all relevant information to handle inquiries and complaints
\uf0b7 Perform the necessary customer verification procedures to ensure effective data protection for employees' personal and sensitive personal information
\uf0b7 Use all available information tools and resources to investigate and resolve queries and problems for customers
\uf0b7 Provide advice to managers and employees on the application of employers' policies, standing financial instructions and employee services transactional business process and procedures

\uf0b7 Support front-line managers by providing appropriate information and advice on the use of key business tools relating to employee and workforce information including online forms, ESR Self Service, E-Roster and Expense claims systems
\uf0b7 Support front line employees by handling queries and providing appropriate information and advice on a range of contractual and payment matters, including taxation
\uf0b7 Help customers resolve delays in transaction processing linked to lost, incomplete or inaccurate records working with managers and collaboratively with Human Resources and Employee Services teams
\uf0b7 Where necessary, identify cases where complex or unresolved issues remain and direct these to the appropriate responsible team members
\uf0b7 Identify overpayment situations and initiate agreed overpayment and recovery processes
\uf0b7 To calculate complex manual payments in accordance with statutory requirements
\uf0b7 Communicate with customers politely and with empathy, especially when dealing with managers and members of staff in sensitive and emotive situations
\uf0b7 Consistently demonstrate high standards of customer care, supported by proactive and positive communication
\uf0b7 Record all queries, information and advice provided to support seamless continuity of customer service and the identification of trends for future improvement action
\uf0b7 Translate requirements of policy and statutory regulations (e.g. Income Tax, National Insurance, Statutory Sick Pay) for customers in a simple and readily understood manner for managers and employees working at all levels within employing authorities
\uf0b7 Maintain a working knowledge of and apply combined requirements of all statutory regulations relating to pay, pensions, tax and NI etc.
\uf0b7 Develop and maintain a detailed knowledge of all statutory regulations relating to pay, pensions, tax and NI, NHS-wide and local pay agreements
\uf0b7 Develop and maintain a working knowledge of the ESR solution and links with modules outside core payroll (e.g. recruitment, OLM, self service, time and attendance, expenses)
\uf0b7 Use customer interactions as opportunities to identify, suggest and implement changes to continuously improve efficiency and customer service, supporting the introduction of new procedures and business processes
\uf0b7 Work independently, responsible for accuracy of own work only ensuring that it is subject to sample checking, by other employee services officers, as defined in procedure
\uf0b7 Maintain familiarity with key aspects of the work in each Employee Services team to support the provision of cover for absent colleagues when necessary
\uf0b7 Undertake other duties within the general scope of the post may be required from time to time.

3. Working as part of a Team
\uf0b7 Participate in Team Meetings
\uf0b7 Share knowledge, skills and expertise with Colleagues.
\uf0b7 Liaise with other agencies, services as required.
\uf0b7 To maintain all staff personal safety when they are working within the community re signing in and out boards.
\uf0b7 Maintain the security/maintenance of the office and equipment within the Trust policy to ensure health and safety of self and others.

4. Managing Self
\uf0b7 Participate in regular supervision.
\uf0b7 Participate annually identifying, developing and agreeing your own development plan with your line manager using the Trust Appraisal process.
\uf0b7 Comply with mandatory training requirements
\uf0b7 Comply with all Trust policies, procedures and protocols.
\uf0b7 Pay regard to materials and equipment.
\uf0b7 Carry out duties with due regard to the Trust's Equal Opportunity Policy.
\uf0b7 Seek advice and support from Team Leader whenever necessary.

5. Safeguarding
All staff members have a duty to report any concerns they have about the safety or well being of adult service users, members of their families, including children. Employees should be aware of their roles & responsibilities to both prevent and respond appropriately
