Job overview

We are looking for a new Administrator to join our team based in Thanet. Our administration offices are busy places and our clinical teams rely on our teams to provide an efficient, effective service to support them in delivering the very best care to our patients.

Main duties of the job

Ideally, you'll be educated to GCSE in Maths and English or equivalent and NVQ Level 3 or equivalent. You'll bring your well-developed skills in customer carewith you and you'll use these on a daily basis in your interactions with our patients and colleagues. Confident, professional, organised and with a keen eye for detail; we'll look to you to ensure that records are accurately maintained as well as prioritising workloads and identifying urgent issues.

Our Administration Co-Ordinator will look to you to provide guidance and direction to the team in their absence. You'll also be supporting with completing specific tasks to ensure that we're delivering a consistently great service.

With experience in MS Office, you'll know your way around Outlook, Excel & Word, and previous audio typing experience is a bonus. Able to stay calm and professional at all times, you'll always consider the needs of our patients and colleagues.

Detailed job description and main responsibilities
High-quality admin services are vital for ensuring the smooth running of our service; you can expect your days to be full of variety and challenge - some of the responsibilities for the role are listed below:
  • Answer calls and enquiries from service users
  • Responding to urgent requests
  • Perform basic patient administration on our record system
  • Preparation of both standard and non-standard reports on activity, along with basic statistics
  • Ordering of stationery and supplies
  • Typing letters from dictation
  • Providing administrative support to clinicians
  • Co-ordinating clinics and contacting patients to advise of any changes
  • Supervision of our Administration Assistants, along with supporting their personal development
  • Monitoring the quality of work meets Trust standards
  • Attending meetings and taking accurate minutes

This is a full time role, worked Mon-Fri 9-17. The role is based in Thanet there's also the opportunity to work from home on occasion (once fully trained)

Person specificationQualificationsEssential criteria
  • Educated to NVQ level 3 or equivalent
  • A-C Grade GCSE in Maths or equivalent
  • A-C Grade GCSE in English or equivalent

Desirable criteria
  • RSA 2


ExperienceEssential criteria
  • Demonstrable Customer Service experience
  • Previous admin experience
