Job Description

A new and exciting opportunity has arisen within Saint Mary's Managed Clinical Service (MCS) for an experienced Personal Assistant to join our Executive Administration Function to support our continued expansion supporting patients across Greater Manchester and beyond

The Saint Mary's Managed Clinical Service is made up of 5 distinct services:
  • Genomic Medicine
  • Gynaecology
  • Maternity Services
  • Newborn Services
  • Sexual Assault Referral Centre

This is new role and will be challenging and a varied role. Under the direction of the Personal Assistant to the Chief Executive and Deputy Chief Executive and Business Support Manager you will provide secretarial and administrative support at an Executive level to the Director of Business and Innovation and Director of Finance. Furthermore, you will act as Assistant Secretary to the Management Board.

Duties will include but are not limited to:
  • Diary and inbox management
  • Creation of a "bring forward" system to support the future planning of the Directors
  • Provide committee servicing to meetings across the Managed Clinical Service
  • Provide first point of contact and problem solving for the Assistant Directors working collaboratively across the Managed Clinical Service, The Trust and with external stakeholders

The successful candidate will have a professional and welcoming manner with the ability to build relationships with both staff members and external colleagues quickly and effectively.

They will need to be motivated, innovative with a "can do" attitude and a strong commitment to excellent service provision. You will have excellent organisational, communication and interpersonal skills.

A significant proportion of the role will be to provide full secretarial support including minute taking at a governance level to a number of committees. These committees are designed to provide assurance to the management board and wider Group. The role will require the successful candidate to appropriately plan the business calendar, support the administration and provide support to the Chair of the Committee.

The successful candidate will be required to produce a series of document and produce data in different mediums, therefore an extensive knowledge of Microsoft Office applications (including Word, Excel, PowerPoint and Teams) will be important.

Candidate must have the ability to effectively prioritise your own workload. They will also need to work as part of the wider Executive Administration Function to help deliver tasks that require collective effort.

Trust policy requires that the cost of submitting & processing the successful applicant/s DBS application be recovered via salary deduction following start in post. The amount of £26.85(standard disclosure) or £43.85 (enhanced disclosure) which will be deducted from salary, in the first 3 months of employment. If you wish to withdraw once a DBS application has commenced you will be still liable for payment.
