Job overview

The following post has become available within KMPT for a dynamic, self-motivated, forward thinking administrator. The post will be within the Liaison Psychiatry Team (this service provides mental health assessments for patients presenting or currently staying within hospital) for 37.5 hours per week. 4 x weekday mid shift 12.00-20.00 and 1 x weekend 9:00-17:00 after initial induction. The post holder will be required to cover day shifts to cover absence as and when required. The post will be based at Thanet Mental Health Unit although the successful candidate may be required on occasion to provide support to the other East Kent Hospital sites. This role does not involve patient contact.

Main duties of the job

The post holder will be educated to GCSE grade C in Maths and English or equivalent. Possess 5 GCSE grade A-C. NVQ Level 2/3 or equivalent in Administration and have a minimum 2 years experience of working within an administration role. Applications that do not meet these requirements may not be considered.

The ideal candidate will have excellent organisational and analytical skills, be competent in data entry, possess a good working knowledge of Microsoft Office packages such as Excel, pay attention to detail, and be a good team player. They should be able to work unsupervised, meet tight deadlines and adapt to changing/challenging situations. Must possess a polite telephone manner and be able to communicate with a diverse team.

To deliver an effective service it is essential that you are able to travel between bases in a timely manner

Detailed job description and main responsibilities
To work closely with the Team Managers and Administrator to provide a high level of administration support to the Team. To monitor the teams caseload to ensure all mandatory elements have been completed. To monitor various data sources to ensure accuracy. To collate and record information required by the service. To support with Meeting agenda's, invites and minutes. To ensure resources and supplies for the team are replenished and ordered within a timely manner. To monitor BI reports for KPI compliance and highlight and rectify any errors. To use the RIO system to discharge patients and upload required documents. To support the Team/Service with pilots, projects and audits. To assist with recording of NHSP shifts and work with Team Mangers on staffing levels and covering shifts. To answer calls to the team and take messages or divert to the relevant person.
